GENERAL MEMBERSHIP MEETING

The meeting was called to order at 6:30 p.m. on October 21, 2008, by President Carol Karwatt.

Minutes: The general minutes for July 15, 2008, and September 16, 2008, are approved as posted.

General Membership Voting:

1. Past General Membership Minutes: President Carol Karwatt explained why the membership needed to approve at this meeting the following General Membership Meeting Minutes: January 17, 2006; February 21, 2006; March 21, 2006; April 18, 2006;

July 18, 2006; September 18, 2006 (Hospitality Night); October 17, 2006; December 12, 2006 (Holiday Party); February 20, 2007; March 20, 2007; and April 14, 2007. Mary King, CCLS, moved that the past General Meeting Minutes be approved as presented. Motion was seconded and carried.

2. Standing Rules Amendments: President Carol Karwatt requested approval by the membership of the proposed Standing Rules Amendments. These Rules are simple general operation procedures to carry out provisions of the bylaws. The proposed Standing Rules Amendments were prepared by a committee composed of Carol Karwatt, Nancy O’Shea, CCLS, Mary King, CCLS and Doris Burke. Copies of the proposed Standing Rules Amendments were mailed to the members with the Roster mailing. Mary King, CCLS moved that the proposed Standing Rules be adopted. Motion was seconded and carried.

3. Proposed Budget: The budget committee composed of Carol Karwatt, Doris Burke, Mary King, CCLS and Nancy O’Shea, CCLS prepared SMCLSA’s proposed budget for 2008-2009. Copies of the proposed budget were mailed to the members with the Roster mailing. Mary King, CCLS moved that the proposed budget for 2008-2009 be adopted. Motion was seconded and carried.

First Vice President: JoAnne Lein

Installation: JoAnne installed new members Pamela Herrenz, Karen Jordan and Kristen Kamrath.

Second Vice President: Diana Prisk

Diana, a member of Bay Area Legal Secretaries Forum (BALSF) on behalf of SMCLSA, spoke on the benefits of being a member and attending their quarterly workshops. The Forum presents three quarterly workshops each calendar year. The most popular is the annual Changes in the Law which is presented each January. For more information regarding BALSF go to their website at www.balsf.org.

President’s Announcements:

President Carol Karwatt requested members and guests to turn off cell phones during all general meetings and also to refrain from speaking while the speaker is at the podium and during his or her presentation.

The State Bar of California’s "Kids & The Law" pamphlets are available at the reservation table.

Speakers: Paul V. Simpson, Esq. of Simpson, Garrity & Innes, P.C. spoke on employment law and how it effects both employer and employee. He discussed discrimination and harassment in the work force and how he counsels companies to help reduce exposure to employment law violations and potential costly litigation. His presentation was enlightening and entertaining.

Announcements:

Ø Brandon Wai announced that Alameda County LPA will be having a fundraiser on December 4, 2008.

Ø Next board meeting will be Tuesday, November 5, 2008, at 6:00 p.m. to be determined.

Ø Next General Meeting will be on Tuesday, November 18, 2008, at 6:00 p.m. at Dominic’s at Poplar Creek.

BOARD OF DIRECTORS MEETING

President Carol Karwatt called the meeting to order at 6:07 p.m. on October 7, 2008. A quorum was met and those present included Carol Karwatt, Doris Burke, Linda Clark, JoAnne Lein, Nancy O’Shea, Diana Prisk, and Cindy Woodman.

 

MINUTES: The Board of Directors’ Minutes of August 12, 2008, were approved but not posted. The Board of Directors’ Minutes of September 2, 2008, were approved as posted.

 

OFFICERS/CHAIRMEN REPORTS:

FIRST VICE PRESIDENT: JoAnne Lein

 

Hospitality Night: Chairman JoAnne Lein prepared and submitted the Hospitality Night Report showing income of $2,338 and expenses totaling $1,930.49 for a net profit of $407.51. A copy of the report is attached.

 

New Members: JoAnne submitted four new member applications from the following applicants:

1. Pamela S. Herranz, employed by the San Mateo County Superior Court in Redwood City;

2. Marlo J. Isaac, employed by UCSF in San Francisco;

3. Karen Jordan, employed by Canter Moorhead Family Law in San Mateo; and

4. Kristen Kamrath, employed by Carr, McClellan, Ingersoll, Thompson & Horn in Burlingame.

JoAnne made a motion to approve the memberships of Pamela S. Herranz, Marlo J. Isaac, Karen Jordan and Kristen Kamrath. The motion was seconded and carried.

 

TREASURER: Nancy O’Shea, CCLS

A Reconciliation Summary for August 2008 was distributed by Nancy, and reviewed by the board. A copy is attached to the minutes.

 

Bills Submitted: The following bill was submitted for payment from the general account:

JoAnne Lein for $75.49 for Hospitality Night expenses (advertising-Full Calendar $19.95, paper & envelopes $12.54, and postage $43).

A motion was made to approve payment of the bill. The motion was seconded and carried.

There was discussion regarding overpayment to Lori Stumpf of $24.43 for attendance at LSI’s 2008 Annual Conference. Nancy O’Shea will contact Lori to explain the board’s mistake and ask for reimbursement to the Association.

 

SECOND VICE PRESIDENT: Diana Prisk

Paul V. Simpson, Esq. will be the speaker at the October 21st General Meeting. Mr. Simpson’s topic will be Employment Law and qualifies for one hour of General Law MCLE credit.

 

BALSF: Diana has not received the brochures for BALSF’s quarterly workshop scheduled for October 25, 2008. The workshop will be on Changes in the Bay Area Local Court Rules. Diana will contact BALSF representatives to obtain the information to send out to members.

 

NEW BUSINESS:

 

Disruptive Behavior at Meetings: The board discussed the disruptive behavior at one of the tables (members talking loudly during the speaker’s entire presentation) at Hospitality Night. It was decided that President Carol Karwatt will make an announcement at the beginning of every general meeting to remind members and guests to turn off their cell phones during the meeting and to be quiet during the speaker’s presentation out of respect to the speaker and audience members.

November General Meeting: Honorable Stephen Hall, San Mateo County Superior Court Presiding Judge, will be the speaker.

    HOSPITALITY NIGHT/GENERAL MEMBERSHIP MEETING

    The meeting was called to order at 7:10 p.m. on September 16, 2008, by President Carol Karwatt.

    Welcome: President Carol Karwatt thanked JoAnne Lein and her committee for planning and hosting Hospitality Night.

    Installation of New Members: First Vice President JoAnne Lein installed three new members: Cassandra Padilla, Lisa Hofeling and Ana Navarro.

    Introduction of Mary J. Beaudrow, CCLS: President Carol Karwatt introduced Mary J. Beaudrow, CCLS, Treasurer of Legal Secretaries Incorporated (LSI), who spoke on the history of LSI and the benefits of becoming a member and attending LSI’s annual and quarterly conferences. Some examples of the benefits are: Continuing Education, Legal Specialization Section seminars, preparing to take the California Certified Legal Secretary examination, publications, benefits (medical, dental, pension, credit unions, car rental discounts, etc.) and networking with other people in your profession.

    Guest Speaker Sue Ann Jaffarian: Sue Ann is the author of the Odelia Grey mystery series and the upcoming Granny Apples mystery series and lives in Los Angeles. Sue Ann also works full-time as a paralegal at a law firm in Los Angeles. She spoke on how she wanted to become a writer at a very early age but it wasn’t until later in life that her writings finally got published. Her advice to everyone - "Don’t lose sight of your dreams and goals, because only you can make them happen." Sue Ann’s presentation was very inspirational and humorous and members and guests were thoroughly entertained.

    Paul Simpson, Esq. of Simpson, Garrity & Innes, P.C. will be the speaker for the October 21st General Meeting. This meeting will be an MCLE credit event.

    President Carol Karwatt called the meeting to order at 6:03 p.m. on September 2, 2008. A quorum was met and those present included Carol Karwatt, Shara Bajurin, Doris Burke, Mary King, Nancy O’Shea, Diana Prisk, and Cindy Woodman.

    MINUTES: The Board of Directors Minutes of August 12, 2008, were tabled until the next board meeting.

    Bills Submitted: The following bills were submitted/requested:

  •  Shara Bajurin for $500 for the final installment to SMCLSA’s 2008 scholarship winner, Amber J. Achziger, upon confirmation of her Fall enrollment at Skyline College.
  •  Shara Bajurin for $243.41 as reimbursement of her attendance at LSI’s First Quarterly Conference in San Jose on August 22-24, 2008.
  • Diana Prisk for $30 as reimbursement for payment of Bay Area Legal Secretaries Forum’s (BALSF) annual dues.
  • Motions were made to pay the above-listed bills. Motions were seconded and carried.

    GOVERNOR: Shara Bajurin

    Oakland A’s Baseball Game: Shara Bajurin reported the event was a success and prepared a committee report reflecting a net profit of $340. A copy of the report is attached.

    LSI CCLS Study Group Plan: Shara Bajurin advised that LSI’s CCLS Chairman has organized a study group "Plan" beginning the third week of September. The Plan will run for 23 weeks. SMCLSA must decide whether to undertake teaching this study group by September 4, 2008. The initial cost for SMCLSA is $440. After lengthy discussion by the board, it was decided SMCLSA will not participate in the Plan. Shara will notify the CCLS Chairman of the board’s decision.

    FIRST VICE PRESIDENT:

    Hospitality: Cynthia Woodman reported she has received 35 reservations. She also has received enough games for the table decorations.

    Three new members will be installed at Hospitality Night: Ana Navarro, Lisa Hoefling and Cassandra Padilla.

    SECOND VICE PRESIDENT: Diana Prisk

    Diana Prisk’s employer, Paul Simpson, will be the speaker for October’s General Meeting. Mr. Simpson’s topic will be Employment Law. Members attending will receive 1 hour MCLE credit.

    NEW BUSINESS:

    Reconstructed General Meeting Minutes: Pauline Balestrino has reconstructed and prepared the missing general meeting minutes for 2006 and 2007. The minutes will be placed on the dinner tables at the October General Meeting for the membership to review and will be voted on at the November General Meeting.

    November General Meeting: Discussion whether to have an MCLE credited topic or Fashion Show/Vendor Night. The board decided on an MCLE topic, either a speaker on General Law or possibly Loui Tucker of Superior Office Support whose goal is to make your office run more efficiently through software training, support and macros.

    Fundraising Ideas: Discussion on having a mystery night as a possible fundraiser.

    President Carol Karwatt called the meeting to order at 6:05 p.m. on July 1, 2008. A quorum was met and those present included Carol Karwatt, Shara Bajurin, JoAnne Lein, Nancy O’Shea, Cynthia Woodman, Lori Stumpf, Mary King, and Heather Ryan.

    MINUTES: The Board of Directors’ Minutes of July 1, 2008, are approved as posted.

    OFFICERS/CHAIRMEN REPORTS:

    GOVERNOR: Shara Bajurin reported that she will attend the First Quarterly Conference in San Jose, California on August 22-24, 2008, hosted by Santa Clara County Legal Secretaries Association. Shara will ask that LSI provide a PowerPoint presentation available to all members, and accessible for download on LSI’s website.

    Oakland A’s Baseball Game: Shara reported that all tickets have been sold.

    2008 Scholarship: There was discussion as to the distribution of scholarship funds. Shara will investigate the proper procedure and inform the board at the next board of directors meeting.

    FIRST VICE PRESIDENT:

    New Members: JoAnne Lein submitted new member applications from Cinthia Vargas, employed by Cotchett, Pitre & McCarthy in Burlingame, and Lisa Hofeling, employed by Jackson A. Morris III in Belmont. It was noted in Rosamaria Garcia’s application did not indicate number of years of legal experience.

    A motion was made to approve the memberships of Cynthia Vargas and Lisa Hofeling. The motion was seconded and carried.

    Vargas and Lisa Hofeling will be installed at the Annual Hospitality Night on September 16, 2008.

    Hospitality Night: JoAnne will confirm that Dominic’s has been reserved the date for hospitality night.

    TREASURER: Nancy O’Shea provided a proposed budget as well as a treasurer’s report for May and June 2008. Nancy reported that as of August 1, 2008, the Association has received membership dues from the following: 58 active and 5 retired for a total of 63.

    A motion was made to have a $50 drawing at the March 2009 meeting for all members who sponsor new members. The motion was seconded and carried.

    SECOND VICE PRESIDENT: Diana Prisk discussed possible speakers for future meetings.

    NEW BUSINESS:

    STANDING RULES COMMITTEE: Discussion ensued with respect to the San Mateo County Legal Secretaries Association Standing Rules provided by Mary L. King, Chairman. After discussion, the revised Standing Rules were voted upon and ratified by a majority vote.

    ANNOUNCEMENTS:

    Next Board Meeting September 2, 2008, Tuesday, 6 p.m., Law Library, Redwood City.

    The next General Meeting will be September 16, 2008, "Hospitality Night."

    Introduction of Members and Guests

    Treasurer:

    Bills: President Carol Karwatt requested the following bills be ratified:

  • $961.50 to Royal Coach Tours for transportation expense for SMCLSA’s Oakland A’s baseball game event on August 17, 2008.
  • The Association paying an additional $6 per person to be subsidized by the raffle proceeds, to cover the total dinner cost of $26 at Hospitality Night. [Ticket price for members/guests is $20.]
  • Shara Bajurin made a motion to ratify the payment of $961.50 to Royal Coach Tours for transportation expense. The motion was seconded and carried.

    A second motion was made for the Association to pay the additional $6 per person subsidized by the raffle proceeds towards the total dinner cost of $26 at Hospitality Night. The motion was seconded and carried.

    Oakland A’s Baseball Day: Shara Bajurin has only 3 tickets left for sale. If you plan to attend, you should contact Shara as soon as possible.

    • August Quarterly Conference: Santa Clara County LSA is hosting LSI’s First Quarterly Conference at the Holiday Inn in San Jose on August 22-24, 2008.
    • CCLS Study Group: SMCLSA’s study group started in June and is being held every Wednesday evening at 6:00 p.m. at the San Carlos Public Library through September 10, 2008. Anyone interested is encouraged to join the study group.

    Paul Constantino, an attorney who lives and works in the City of Burlingame, spoke briefly about his article "Burlingameisms", a list of words he created to express his fondness for the city. Since Burlingame is celebrating its 100th year anniversary this year. Paul wanted to do something special to show his appreciation for the city.

    Speakers:

    Attorneys Nanci Nishimura and Ara Jabagchourian of Cotchett, Pitre & McCarthy were the speakers. Their discussion was on "Ethics, How to Keep Your Boss Out of Trouble."

    Not keeping clients informed of the status of their legal issues can cause difficulties for attorneys and/or law firms. The duty to inform clients through verbal or written communication is extremely important and should be implemented on a regular basis. Both speakers were great and their presentation informative and entertaining.

    Announcements:

    Ø A Flower Garden Show benefiting two non-profit organizations: HIP Housing and Habitat for Humanity will take place on July 24, 2008 from 3:00 to 7:00 p.m. at 792 Willborough Road in Burlingame.

    Ø Next board meeting will be Tuesday, August 5, 2008, at 6:00 p.m. at the Law Library.

    Ø Brandon Wai announced that Alameda County LPA will host a picnic on August 9, 2008, at Lake Chabot Park in Castro Valley. There is no charge but you should bring a favorite food dish to share.     President Carol Karwatt called the meeting to order at 6:01 p.m. on July 1, 2008. A quorum was met and those present included Carol Karwatt, Shara Bajurin, Doris Burke, JoAnne Lein, Nancy O’Shea, and Cynthia Woodman.

     

    MINUTES: The Board of Directors’ Minutes of June 3, 2008, are approved as posted.

     

    OFFICERS/CHAIRMEN REPORTS:

    Treasurer’s Report:

    Bills Submitted: The following bill was submitted/requested:

    Shara Bajurin for $961.50 payable to Royal Coach Tours for transportation expense for Oakland A's baseball event on August 17, 2008.

    Since the above bill is over $300, it will be ratified at the July 15, 2008, general meeting. Motion was made to pay the above-listed bill. Motion was seconded and carried.

     

    Status of Membership Dues: Nancy reported that as of July 1, 2008, the Association has received membership dues from the following: 50 active and 7 retired for a total of 57.

     

    GOVERNOR: Shara Bajurin

    Oakland A’s Baseball Game: Shara has sold 30 tickets for the Association’s special event on August 17, 2008, the Oakland A’s baseball game. To date she has received $1,050 in ticket sales and has paid $329 for 39 Oakland A’s tickets. She announced there will be a raffle on the bus. Also, an ad for this event is to be placed in the San Mateo County Bar Association’s monthly newsletter, The Here-Say.

     

    2008 Scholarship Recipient: Shara Bajurin is to deliver the scholarship winner, Amber Jade Achziger, one-half of the scholarship award, $500, upon proof of enrollment. Shara will mail the award to her.

    Shara also made a request that Amber Jade Achziger receive the member rate of $28 when attending a general dinner meeting for 2008. After discussion by the board, Shara made a motion that Amber Jade Achziger receive the $28 member rate for dinner meetings for 2008. Motion was seconded and carried.

     

    FIRST VICE PRESIDENT: JoAnne Lein

    New Members: JoAnne Lein submitted new member applications from Rosamaria Garcia, employed by Carr, Yeley & Associates in Redwood City, Michelle Betts, employed by Weil, Gotshal & Manges, and Ana Navarro, retired from the San Mateo County Superior Court. It was noted in Rosamaria Garcia’s application that she did not indicate how many years of legal experience she has. JoAnne will contact Rosamaria to find out if she has the required six months of legal experience in order to be considered for membership.

    JoAnne made a motion to approve the memberships of Michelle Betts and Ana Navarro. The motion was seconded and carried. Member Cassandra Padilla will be installed at the July 15, 2008, general meeting.

     

    Hospitality Night: Chairperson JoAnne Lein informed the board that every place she has contacted to host this event is either booked or too costly. President Carol Karwatt suggested the event be held at Dominic’s at Poplar Creek, and the members and guests be charged $20 and the Association pay $6 per person for dinner subsidized by the raffle proceeds. After discussion by the board, a motion was made to charge members and guests $20 and the Association pay $6 per person for dinner. Motion was seconded and carried. Since the amount the Association will be paying is expected to be over $300, it will be ratified at the July general meeting.

     

    JoAnne Lein will contact Dominic’s to reserve the date for hospitality night. Carol Karwatt will email Deborah at the San Mateo County Bar Association to place an ad in The Here-Say and to obtain their membership list or labels for mailing the hospitality night flyer/information to them.

     

    JoAnne discussed posting an ad on the FullCalendar.com website to advertise Hospitality Night. The cost is $19.95 per event. After discussion by the board, JoAnne made a motion to advertise SMCLSA’s Hospitality Night on the FullCalendar.com for $19.95. Motion was seconded and carried.

     

    SECOND VICE PRESIDENT: Diana Prisk

    Diana Prisk was advised by Kathy Zurawski that SMCLSA has not paid their dues to BALSF. Diana will get the information from Kathy, pay the dues and be reimbursed by the Association.

     

    Unfinished Business:

    Standing Rules and Budget Committee: The committee will meet on Tuesday, July 22, 2008, at 6:00 p.m. at Lathrop House in Redwood City.

    Introduction of Members and Guests

    Minutes: The general minutes for May 20, 2008 are approved as posted.

    General Membership Voting: President Carol Karwatt requested the membership vote on the following items:

    1. Golden Gate Fields Contract: Carol stated Golden Gate Fields did not agree to the extra language the Association wanted to include in the contract and indicated they have never modified a contract. Mary King made a motion for Carol to execute the Golden Gate Fields contract provided to her. Motion was seconded and carried.

    2. Cancellation of August General Meeting: The board recommends not to have a general meeting in August since the Oakland A’s baseball day fund raiser is scheduled for August 17, 2008, and Santa Clara County LSA is hosting LSI’s First Quarterly Conference on August 22-24, 2008.     Hospitality Night: JoAnne Lein reported the Foster City Recreation Center was not available for Hospitality Night on September 16, 2008. She is searching for other locations. JoAnne asked for members to volunteer to assist her in one or more of the jobs listed on the sign-up sheet and to obtain or donate a raffle item.

    Oakland A’s Baseball Day: Shara Bajurin has only 17 tickets left for sale for the Oakland A’s baseball game against the White Sox on Sunday, August 17, 2008. The Association purchased 47 tickets and needs to sell at least 40. Flyers were distributed to the members and guests.

  • August Quarterly Conference: Shara reported that LSI’s First Quarterly Conference hosted by Santa Clara County will be held on August 2-24, 2008, at the Holiday Inn in San Jose.  Shara encouraged all members to attend.

    • CCLS Study Group: SMCLSA’s study group started on June 11, 2008, and will be meeting every Wednesday evening at 6:00 p.m. at the San Carlos Public Library through September 10, 2008. Anyone interested in taking the CCLS exam in October is encouraged to join the study group.

    SMCLSA Scholarship Winner: Shara introduced Amber Jade Achziger, SMCLSA’s scholarship winner of $1,000. Amber also won on the state level; she was LSI’s scholarship winner of $1,000.

    Speakers:

    Representatives Michelle Deleye and Lisa Rocha from Robert Half Legal, a legal recruiting business, discussed the trends for 2008 in hiring of legal professionals and the starting salary ranges for new attorneys, paralegals and legal secretaries. The hiring outlook for 2008 is positive. There is consistent demand for paralegals and legal secretaries especially in specialty areas such as litigation, intellectual property, commercial real estate and corporate law, but the environment is competitive with more candidates than jobs. It is now an employer’s market. Paralegals and legal secretaries must have excellent skills, proficient in Microsoft Word and e-filing, and be up-to-date on federal and state filing rules.     • Mary King mentioned the next issue of Legal Pro, a supplement to The Recorder, features an article regarding the secretary’s role changing with the times. The article contains quotes from our Governor Shara Bajurin and members Mary King and Bonnie Stensler.

    • Brandon Wai announced that Alameda County LPA is hosting a picnic at Lake Chabot Park in Castro Valley on August 9, 2008, and everyone is welcome to attend. There is no charge for the event but you should bring something to eat. The cost for parking is $5 or you can park for free on the street.

    • Next board meeting will be Tuesday, July 1, 2008, at 6:00 p.m. at the Law Library or possibly outdoors at the Old Courthouse Plaza, weather permitting.

    • Next general meeting will be Tuesday, July 15, 2008, at 6:30 p.m. The speaker will be Nancy Fineman of the Cotchett law firm. Ms. Fineman’s topic will be "Ethics: How to Keep Your Boss Out of Trouble."

    Carol Karwatt for $300 for attendance as a delegate at LSI’s 74th Annual Conference in Pleasanton, California.

    Carol Karwatt for $125 to Pacific Racing Association for deposit of "Day at the Races" event to be held December 7, 2008, at Golden Gate Fields.

    A motion was made, seconded, and carried that the above-listed bills be paid as submitted.

    Status of Membership Dues: Nancy prepared a spreadsheet which listed members who have and have not renewed for 2008-2009. A total of 44 members have renewed and 25 members have not responded. Doris Burke, Carol Karwatt, Mary King and JoAnne Lein volunteered to contact members who have not renewed to remind them that their dues are past due and also to inquire if they would be renewing.

    GOVERNOR: Shara Bajurin : Oakland A’s Baseball Game - Sunday, August 17, 2008: Shara has purchased 47 tickets for the Oakland A’s v. White Sox baseball game on August 17, 2008. The deadline for payment for transportation by Royal Coach Tour Bus is July 27th. Members and guests are requested to purchase tickets as soon as possible.

    New Members: JoAnne Lein submitted new member applications from Helen D’Alessandro, employed by Fish & Richardson, P.C. in Redwood City, and Cassandra Padilla, employed by Norris Family Law in Redwood Shores. A motion was made to approve their memberships. The motion was seconded and carried.

    Hospitality Night: Chairperson JoAnne Lein will prepare a Save the Date flyer and a sign up sheet for volunteers to assist her with Hospitality Night. The sign up sheet will be available for members at the June 17, 2008, general meeting.

    SECOND VICE PRESIDENT:  Diana Prisk was not present. President Carol Karwatt advised that Diana is attempting to obtain Detra Prater-Slack for the July speaker to speak on Ethics. Doris Burke will contact Diana to remind her to contact the Bar Association by June 13th with the speaker information so that it can be published in the June issue of the Here-Say.

    NEW BUSINESS:

    Standing Rules Committee: President Carol Karwatt asked for volunteers to be on the Standing Rules Committee. The following board members volunteered to be on the committee with Carol: Doris Burke, Mary King and Nancy O’Shea. This committee will also prepare the budget for 2008-2009. The date of July 15, 2008, at 6:00 p.m. was suggested for the committee to meet. Mary King will check to see if the Lathrop House in Redwood City is available for the meeting.

    Notary Public Seminar: Present Carol Karwatt inquired whether the Association should have a Notary Public Seminar. Discussion was tabled.

    August General Meeting: President Carol Karwatt will recommend to the membership at the July general meeting to cancel the August meeting for the following reasons:

    The Association is hosting the Oakland A’s baseball game fund raiser on August17, 2008;

    LSI’s First Quarterly Conference is being held on August 22-24, 2008 in Santa Clara County; and

    August is usually a month when most members are away on vacation.

         1.   May 2008 Conference report: Shara prepared and distributed copies of her Governor’s Report for the May 2008 Annual Conference. Shara mentioned a few highlights of the report:

         (a) LSI’s new website.

         (b) All associations are encouraged to have website standards.

         (c) SMCLSA Scholarship winner, Amber Jade Achziger, won 2nd Place and $1,000 from LSI.

         2.  Oakland A’s Baseball Day: Shara Bajurin has tickets for sale for the Oakland A’s baseball game against the White Sox on Sunday, August 17, 2008. The cost is $35 per person and includes bus transportation to the game. Flyers were distributed to the members and guests.     Richard Fine and Melissa Notari of CompuLaw discussed how important it is for law firms to have a calendaring software program to prevent calendaring mistakes that are costly and embarrassing and could cause malpractice claims. CompuLaw’s software like Vision, and the service for small firms, Deadlines on Demand, can save time, expense and lower a firm’s malpractice risk.

    OFFICERS/CHAIRMEN REPORTS

    Diana Prisk, Second Vice-President, reported that the following speakers are set for the upcoming General Meetings -- in May, a speaker on CompuLaw; and in June, a speaker from Robert Half Legal Staffing Agency. Diana is in the process of arranging for a speaker on Ethics for the July meeting.

    Nancy O’Shea, Treasurer, had received the following bills for payment:

    1. Reimbursement to Carol Karwatt for refund made to Ellen Day at the Races: $ 20.00

    2. Lori Stumpf for Scrip Ticket for LSI 74th Annual Conference: 78.50

    A motion was made, seconded, and carried that the bills be paid as submitted.

    Nancy also reported that she has now received the new checks from Wells Fargo Bank. Currently, the Association is being charged a $2.50 fee per month for the checking account. However if we obtain a debit card this fee will be waived. After discussion, it was moved, seconded, and passed that Nancy be authorized to obtain a debit card for the checking account to facilitate her in maintaining the account, making deposits, and allow for online banking.

    Governor Shara Bajurin announced that the members attending the Annual Conference will gather for a Saturday lunch.

    With regard to the marketing of LSI, the President made a suggestion to the Governor that it would be helpful if LSI would provide a script and/or outline or even a Power Point presentation to assist in this endeavor. Shara will take the suggestion back to LSI.

    On another subject, Shara has put together an Oakland A’s Baseball Day for Sunday, August 17, 2008. The cost will be $35 per person, which includes a ticket to the game and bus transportation. There needs to be a minimum of 40 persons attending with a maximum attendance of 47. Based on 40 persons the Association would make $200.00. It was moved, seconded, and carried that Shara be authorized to purchase no more than 47 tickets from the A’s to be sold for this event.

    NEW BUSINESS

    President Carol Karwatt wants to change the format of the General Meeting in that she will make Announcements at the beginning of the meeting instead of at the end.

    Member Bonnie Stensler suggested to the President that possibly SMCLSA should consider having a Notary meeting/class. After discussion, Carol said that she would obtain more information on such a speaker and report back at the next Board meeting.

    Because of the ongoing construction on Highway 101, access to Dominic’s is becoming more complicated. Directions have been provided on the Evite for the General Meeting but discussion ensued that the possibility of a map on the website would be helpful as well.

    UNFINISHED BUSINESS

    The President announced that there are still Committee Chair positions that need to be filled.

    Beginning Legal Secretary Course: Shara reported the secretarial course was a complete success. There were a total of 19 students, three of whom were current paralegal students at Canada College. After payment to Canada College of $344 for the location, the Association made a profit of approximately $1,500.

    There was discussion by the board that for future secretarial courses, the Association should charge more and give each student a one year membership in SMCLSA.

    Scholarship: Shara Bajurin, Scholarship Chair, made a motion to award $1,000 to the 2008 scholarship winner, Amber Jade Achziger. The first payment of $500 will be awarded to Amber based on proof of enrollment of her first semester and the final $500 on proof of enrollment of her second semester. Shara also moved that Amber’s application be submitted to LSI for consideration of their scholarship program, the Eula Mae Jett Scholarship Plan. Motion second and carried.

    NEW BUSINESS:

    Committee Chair Sign Up Sheet: President Carol Karwatt passed a sign up sheet and is asking for members to volunteer to chair a committee.

    Speakers: Possible speakers for June and July will be Robert Half Legal and someone on Employment Law.

    Bills: Governor Shara Bajurin requested reimbursement for her attendance at LSI’s Third Quarterly Conference in Pasadena on February 8-10, 2008. Total expenses for the conference were $691.06. The reimbursement amount to be approved is $599.22 since that is the amount left in the Governor’s budget. Nancy O’Shea made a motion to reimburse Shara the amount of $599.22. Motion was seconded and carried.

    Business:

    Day at the Races: President Carol Karwatt has tickets for sale. The event will be held on Sunday, April 27, 2008.

    Changes in General Meeting Speakers: The scheduled speaker for June, Sue Ann Jaffarian, a noted author, is unable to attend but instead will speak at our September meeting, Hospitality Night. The June meeting will host a speaker on employment law and it will be an MCLE credit event.

    LSI Annual Conference: Flyers for LSI’s 74th Annual Conference hosted by Livermore-Amador Valley LPA at the Hilton in Pleasanton on May 15-18, 2008 have been placed on each table for anyone interested in attending.

    Volunteers to Tabulate Election Votes: President Carol Karwatt asked for two volunteers to assist in counting the election votes. Nancy O’Shea and Donna Bottarini volunteered.

    Dolores Gould, Director of Programs for Career Closet, spoke on what Career Closet does, how they are funded and how we can help. Career Closet is a nonprofit organization assisting women in re-entering the workplace by equipping them with business clothing and interview advice. Their services are provided free of charge and they have given thousands of women the confidence and skills to obtain gainful employment. Career Closet relies on financial support received from generous donors and also donations of women’s business attire, office supplies and other items that aid their day-to-day operations.     Marcie Storch, Director of Development of Legal Aid Society of San Mateo County, a private non-profit law firm, spoke on the need to provide legal services to their clients, low-income children, families, teens, women and seniors in San Mateo County who do not have the resources to provide for themselves. The Legal Aid Society offers individual assistance, community education, and resolution of systemic problems in the area of health, housing and homelessness, family law and domestic violence, government benefits and disability rights. Marcia asked members/guests employed in the legal field to volunteer their time to assist their clients with legal services. She indicated they were in need of volunteers and anyone volunteering whatever time they could would be very appreciative.     FIRST VICE PRESIDENT: Maria Hernandez

    Maria Hernandez submitted a new student member application from Amber Jade Achziger, who is attending the Paralegal Program at Skyline Community College and is employed full-time in the legal field. There was discussion by the board as to whether Amber should be an active member instead of a student member. Linda Clark moved to tentatively approve Amber’s membership after Maria contacts her to explain the difference between being an active and student member. Motion seconded and carried.

    TREASURER: Nancy O’Shea

    Bills Submitted: None submitted. There was discussion regarding Governor Shara Bajurin’s bill for attending LSI’s Third Quarterly Conference in Pasadena, California on February 8-10, 2008, and the cost which exceeded SMCLSA’s allocated amount of $400. Shara will submit her bill for approval at the next board meeting on April 1, 2008.

    Nancy informed the board that the Association’s general account will now be served by Wells Fargo Bank. Wells Fargo charges a fee of $5 to maintain an account but this fee can be waived as follows: $2.50 deduction if the account maintains a minimum balance of $100 per month and an additional $2.50 deduction for online banking.

    GOVERNOR: Shara Bajurin

    Beginning Legal Secretary Course: Shara reported that there are only three classes remaining and Liz Aldi has volunteered to speak on criminal law for the next class. She commended Nancy O’Shea for her participation and reminded the board that they were welcomed to attend any of the remaining classes.

    Scholarship: One application has been received for the board’s consideration.

    Discussion by the board commenced regarding Amber Jade Achziger’s application and the fact that she would be ineligible to apply for the scholarship if she became a member. After discussion, Linda Clark moved to withdraw her motion to tentatively approve the application for student membership by Amber Jade Achziger. Motion seconded and carried. Marie Hernandez will contact Amber to inform her about the rules pertaining to scholarship recipients not being members of LSI or a local association

    NOMINATING COMMITTEE: Doris Burke read the names of the officers and members agreeing to run for office and the position of Delegate #3 and Alternate Nos. 1, 2 and 3. Mary King volunteered to have her name added to the list of delegates and alternates. Elections will be held at the March general meeting and the committee will ask for nominations from the floor before the ballots are distributed.

    NEW BUSINESS:

    Bay Meadows-Day At The Races Fundraiser: President Carol Karwatt suggested that a portion of the income received from the fundraiser should be applied to sending several members to LSI’s annual conference in May who have never attended an LSI conference before. The Association would pay for the member’s script and one-half of the room charge. Carol will be contacting new members of the Association to inquire if they would be interested in attending this conference. The board will vote on the cost of sending the member(s) at the next board meeting.

    Day In Court: President Carol Karwatt spoke with Juvenile Court Supervisor Jeff Rolston and asked if he would be a guest speaker at our July or August general meeting. His topic will be an overview of juvenile proceedings and juvenile gang task-force. Carol will arrange to have Mr. Rolston for the general meeting in July.

    Committee Chair Sign Ups: President Carol Karwatt will be asking for members to volunteer to chair a committee after the installation of officers in April.

    Program Ad-LSI Annual Conference: The board discussed whether the Association should submit an ad for the Official Program for LSI’s 2008 Annual Conference in Pleasanton hosted by Livermore-Amador Valley LPA. Mary King made a motion to submit a business card ad for $50. The motion was seconded and carried. Doris Burke will prepare and submit the ad.

    Association’s Web Site: There was discussion regarding hiring someone to maintain the Association’s web site for a minimal monthly charge. There is also the cost for the server, approximately $14.95 a month. President Carol Karwatt requested a committee be formed to investigate the cost to the Association to have the web site maintained professionally. Further discussion will be held regarding this matter at the next board meeting.

    General Meeting Dinner Attendance – MCLE v. Non-MCLE: Treasurer Nancy O’Shea and JoAnne Lein prepared a comparison from May 2007 to February 2008 of how many members/guests attended an MCLE credited general dinner meeting verses non-MCLE meeting. The total was 32 attendees for MCLE and 39 attendees for non-MCLE. Attendance at the general meetings has increased and the Association will continue having programs that qualify for MCLE credits.

    ANNOUNCEMENTS:

    General Membership Meeting - March 18, 2008, at Dominic’s at Poplar Creek. Members will vote on the election of officers for 2008-2009. The speaker will be Marcie Storch, Director of Development of Legal Aid Society. Someone from Career Closet will also give a short presentation.

    Governor:

    Governor Shara Bajurin attended the Third Quarterly LSI Conference in Pasadena on February 8-10, 2008, and prepared a detailed report. One of the highlights of the Board of Governor’s meeting was LSI’s request that each local association incorporate wherever possible the tag line: LSI-Educating California’s Legal Professionals.

    Shara also reported that LSI’s Annual Conference will be held in Pleasanton on May 15-18, 2008, and that it would be a great opportunity for someone who has not gone to a conference before to attend this one since it is very close to home.

    Day at the Races: The date for the Association’s fund raiser is Sunday, April 27, 2008. President Carol Karwatt has tickets for sale.

    Nominating Committee: The following officers and members volunteered to be on the nominating committee: Doris Burke, Nancy O’Shea, Linda Clark, Linda Kinney, and JoAnne Lein. Helen Greggans made a motion to approve the nominating committee. Motion was seconded and carried.

    Speakers:

    Stephen M. Wagstaffe, Chief Deputy District Attorney of San Mateo County, spoke on how crime in San Mateo County has decreased over the past years and that the county is one of the safest in the Bay Area. Mr. Wagstaffe has been with the District Attorney’s office since 1975 and is an experienced criminal prosecutor having extensive trial experience. He is an excellent speaker and members and guests enjoyed his presentation.

    GOVERNOR: Shara Bajurin

    BEGINNING LEGAL SECRETARY COURSE: Shara reports that the classes are going well and there are 21 students and 4 auditing students attending. Shara asked the board if the students could attend the Association’s general meetings at the same price as a member, $28. A motion was made to permit any student interested in attending a general meeting to pay the same price as a member, $28. Motion was seconded and carried. Shara will inform the students to contact the reservation chair, JoAnne Lein, if they wish to attend.

    SCHOLARSHIP: No applications have been received.

     

    LSI CONFERENCE-PASADENA: Governor Shara Bajurin requested the board to instruct her on voting at the conference regarding LSI’s request for an increase in dues. After discussion, the board’s decision was that Shara should vote no to any increase in dues. Nancy O’Shea made a motion for Shara to vote no on any dues increase. The motion was seconded and carried.

    UNFINISHED BUSINESS:

    Nominating Committee: Nancy O’Shea, Doris Burke and Linda Clark volunteered to be on the committee. Two additional members are required to be on the committee. Nancy O’Shea volunteered to be chair of the committee. After discussion by the board, it was decided that Nancy O’Shea should send an email to all members asking them to volunteer to serve on the Nominating Committee or to place their name as a nominee for attendance at LSI’s Annual Conference in May on behalf of the Association as Delegate No. 3, Alternate Nos. 1, 2 and 3. Maria Hernandez volunteered to be a delegate. Nancy will also prepare a slate of candidates for the 2008-2009 year.

    The actions of the board regarding the nominating committee shall be ratified at the February General Meeting.

    NEW BUSINESS: Brandon Wai of Paulson Reporting & Litigation Services will attend the February General Meeting and give a short discussion.

    ANNOUNCEMENTS:

    Day at the Races: Bay Meadows informed President Carol Karwatt that there would be no live racing in August 2008 since the horses were scheduled to race during August at the Alameda County Fair in Pleasanton. The new date for the Association’s fund raiser is Sunday, April 27, 2008. President Carol Karwatt requested volunteers to chair or co-chair the event.

     

    Speakers:

    Bruce Hamilton, Executive Director of HIP Housing (Human Investment Project, Inc.) spoke on how HIP, a private, nonprofit organization, provides affordable housing needs to low-income families or individuals. He described the four ways HIP assists the families or individual so they can have a place to call home.

    Timothy Gee, Management and Legislative Analyst of San Mateo Superior Court, spoke on the highlights of the new legislation effective January 1, 2008, and changes in the local rules of court. There was no major change in the court filing fees.

    Both speakers were excellent and their information very informative.

    BEGINNING LEGAL SECRETARY COURSE: Shara has received seven paid registrants to attend the course and is expecting three additional registrants who indicated they were mailing in their registration fee. The first class starts Wednesday, January 16, 2008.

     

    SCHOLARSHIP: Shara heard from one person who is working on their application.

     

    UPDATE OF PAST MINUTES:

    Past President Pauline Balestrino presented the following Board of Directors Meeting Minutes for approval: May 2, 2006, July 5, 2006, January 9, 2007, and March 6, 2007. Mary King made a motion to approve the minutes as corrected. Motion was seconded and carried.

     

    DAY AT THE RACES: The date of August 10, 2008, was selected for the Association’s annual fundraiser at Bay Meadows.

    Nomination Committee - The nominating committee will be selected at the January 15th General Meeting. The committee will prepare a slate of candidates for the 2008-2009 year.

    Member Cindy Woodman who is LSI’s Scholarship Chairman will be speaking at PALSA’s January General Meeting on scholarships.

    The meeting was called to order at 6:40 p.m. on December 18, 2007, by President Carol Karwatt.

    The following announcements were made:

    Mr. Tim Gee of the San Mateo County Superior Court, will be the guest speaker for the January 15, 2008, General Meeting. Mr. Gee will be speaking on "Changes in the Law 2008." This will be a one hour MCLE credit program. Also, HIP (Human Improvement Project), a San Mateo County nonprofit organization, will be making a Power Point presentation.

    SMCLSA’s Beginning Legal Secretary Training Course will start on Wednesday, January 16, 2008, at Cañada College in Redwood City. Co-chairs are Shara Bajurin and Nancy O’Shea.

    President Carol Karwatt thanked the law firm of Cotchett, Pitre & McCarthy for their generous donation of wine at the dinner tables and also thanked Chairman JoAnne Lein and her committee for planning the holiday party and for the wonderful decorations.

    The next board meeting is Tuesday, January 8, 2008, at Carr, Yeley & Associates in Redwood City, and the next general meeting is Tuesday, January 15, 2008, at 6:30 p.m. at Dominic’s at Poplar Creek.

    Shara Bajurin submitted a bill for $350.00 for reimbursement for attendance at LSI Second Quarterly Conference on November 9-November 11, 2007, in Grass Valley.

    Nancy O’Shea made a motion to pay the above-listed bill. Motion was seconded and carried.

    Since new member Dietra Prater-Slack’s application was received after November, her $40 dues are pro-rated to $30 and she is entitled to a $10 refund. Shara made a motion to refund Dietra Prater-Slack $10. Treasurer Nancy O’Shea issued a check payable to Dietra Prater-Slack for $10.

    Nancy O’Shea prepared a Final Audit Report and will have copies of the report available at the January General Dinner Meeting for members to review.

     

    GOVERNOR: Shara Bajurin

     

    BEGINNING LEGAL SECRETARY COURSE: Shara has obtained a speaker on ethics for the first class and former member Liz Aldi has volunteered to be a speaker on criminal law.

     

    SCHOLARSHIP: Shara has not received any applications to date.

     

    HOLIDAY PARTY: JoAnne Lein, Chairperson

    At the November board meeting, the Children’s Fund was selected as the Association’s charity this year but no monetary donation was suggested. Doris Burke made a motion that a $200 donation be made by SMCLSA to the Children’s Fund. The motion was seconded and carried.

    Also, donations of children’s toys (unwrapped) or a monetary donation to the Children’s Fund by the members is greatly appreciated. There will also be an ornament exchange at the Holiday Party.

     

    DAY AT THE RACES: It was suggested that May 3, 2007 (Kentucky Derby Day) would be a good date for the Association’s annual fundraiser at Bay Meadows. If that date is not available, it was suggested to select a date in August 2007. Carol Karwatt will contact Bay Meadows to obtain available dates and the board will choose a date.

     

    NEW BUSINESS:

    The board discussed the procedure for calling in the final count for members/guests attending the monthly general dinner meetings. It was decided that when Chairman JoAnne Lein contacts Dominic’s to give the final head count for dinner that she give the exact number of attendees who responded. If a member/guest who signed up does not attend, they will be billed for their dinner.

    Bills: A motion was made to ratify the following bill: $344 to Cañada College for rental of the classroom for the Beginning Legal Secretary Training Course. The motion was seconded and carried.

    Membership Drive: The winner of the $50 membership drive was Governor Shara Bajurin.

    Beginning Legal Secretary Training Course, January 16-March 19, 2008: Co-chair Shara Bajurin indicated that the 10 week course will be taught by the Association and guest speakers. Shara asked for members to assist her and Nancy O’Shea and requested anyone interested to sign up as a volunteer.

    Special Drawing: The winner of Carol Karwatt’s homemade fudge was Pauline Balestrino.

    New Business:

    Effective January 2008, the price of dinner for members will increase to $28 and the price for MCLE program dinners for non-members to $40. On non-MCLE nights, non-members will be charged the same as members, $28.

    Burlingame Adopt-A-Unit: Bravo Company: There will be a boxing party on Tuesday, November 27, 2007, at Central County Fire Station in Burlingame. Anyone interested may attend.
